Day 1: The arrival & the welcome

The first day sets the tone. Your guests have often traveled from across the country to be with you, and their first impression defines the mood for the weekend.

The midday soft launch

Between 12:00 PM and 4:00 PM, we recommend a "soft launch." As guests check into their hotel or the estate, we coordinate a welcome lounge with local California favorites — chilled rosé, artisanal snacks, and a custom weekend itinerary waiting in each room.

The rehearsal (VIPs only)

At 5:00 PM, we gather the wedding party for a quick, efficient walk-through. We keep it tight so everyone feels confident without it feeling like a chore.

This is the heart of the weekend. On the wedding day our goal is to move you seamlessly through each phase so you never have to look at a watch.

Morning — refined relaxation

Start with a light, catered breakfast delivered to your suites. Beauty services should begin at least three hours before you need to be in your attire. While you're getting ready, we're on-site making sure the florist, caterer, and production teams are executing your vision to the letter.

Midday — first look & portraits

One of our favorite moments is the first look. Scheduling this around 2:00 PM captures those intimate emotions before guest arrival, and lets us finish most of your wedding party photos early — meaning you can actually attend your own cocktail hour.

Afternoon — the ceremony

In California we're blessed with incredible natural light. We often suggest a 4:30 PM ceremony to capture that "golden hour" glow. Whether it's a garden ceremony with lush florals or a coastal setup, we focus on keeping the ceremony to a meaningful 20–30 minutes.

Evening — dinner and dancing

The transition into cocktail hour and dinner should be effortless. We prioritize a seated dinner that feels sophisticated but doesn't drag on — capping the formal dining and speeches at two hours keeps the energy high. After dinner we shift the vibe: live band in a grand ballroom, DJ in a converted aircraft hangar (yes, we've done that), the goal is a smooth transition into dancing.

Day 3: The farewell brunch

The final day shouldn't feel like a chore — it should feel like a soft landing. A farewell brunch is the perfect chance to recap the night's best moments and say a final thank you.

The "recovery" vibe

We often suggest a 10:30 AM start. Stations of avocado toast, fresh California fruit, and a "hair-of-the-dog" bar with espresso martinis or mimosas. Usually more casual, so guests can drop in and out as they prepare to travel.

Optional afternoon activities

For those staying longer, we organize low-pressure activities like a poolside hang or a final vineyard stroll — optional so guests feel taken care of but not pressured.

Expert tips for a flawless weekend

  • Venue strategy. We love venues where most events can happen on-site or within very close proximity. If you're moving locations, we build in generous transportation buffers — if a drive takes 20 minutes, we schedule 45.
  • The "buffer" rule. We always build in 15–30 minute cushions between major events. If a toast goes long or a guest is late, the rest of the evening stays on track.
  • Weather considerations. California weather is iconic but varied. We plan for the midday sun with parasols and hydration, and for the cool evenings with pashminas and heat lamps.
